40%- In coordination with the department chair and relevant committees/leaders, initiate and facilitate administrative support needed to complete personnel actions for the Department of Kinesiology in an efficient and accurate manner.
Communicate and collaborate effectively with the department chair and the Office of the Dean’s Personnel Coordinator related to all personnel matters.
Assist and work in collaboration with the Office of the Dean of HHP to collect and enter information needed for an effective student employment program.
Select and train work study students or self-help students to ensure efficient operation of the department.
40%- Utilizing ECU, HHP, and the department’s purchasing guidelines, initiate, assist with, and/or complete transactions and tasks needed to purchase and receive resources for instruction, research, scholarship, service, outreach, and other functions of the unit (e.
g.
pay invoices and reconcile ProCard regularly).
Monitor, address issues, and produce reports related to Kinesiology funds/budgets, including state and non-state accounts.
Tracks spending for these accounts, addressing inconsistencies.
Compiles reports and offers advice on budget matters when asked by the Chair.
Serves as a resource to faculty regarding financial matters.
Processes and audits all travel reimbursements.
Serves as the primary purchasing agent in the department, using Port to open purchase requisitions.
20%- Answer telephone, take messages, set-up appointments for Chair, and maintain chair’s calendar.
Assist with aspects of faculty and student recruitment, program/unit assessment activities, and similar regular, but not daily tasks.
Execute proper retention of documentation by filing, archiving and shredding documents when necessary.
Greet and direct guests to the department.
Uses 25 Live room scheduling system when needed by faculty and others.
Address any issues with the physical plant, and open work orders when necessary.
Organize and maintain storage areas.
Contingent on Available funding Minimum Education/Experience High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
