The Administrative Assistant will manage financial oversight of the clinic, including: (50%)
Financial record-keeping and management of the clinic budget throughout the fiscal year including grant funds that support therapy services
Income processing and communication with student therapists regarding receipts and payment issues.
Create and submit quarterly compliance reports to the ECU Compliance Office.
Maintain records of faculty hours for reimbursement for clinical work.
The Administrative Assistant will work closely with the Assistant Clinic Director on the daily oversight of clinic operations and personnel management including: (50%) Ensuring that the clinic functions effectively, safely, and in accordance with established protocols and policies.
Maintaining an accurate schedule of the clinic including coverage during operating hours, requests for maintenance and IT support, and scheduling clinic space for student practicums and supervision, trainings, and other events.
Assist with recruiting, training, scheduling and onboarding of clinic assistants and interns in coordination with the Assistant Clinic Director.
Schedule and assign intakes, create and maintain case files (including archived files) in the Electronic Health Record (EHR) and other therapist/client data.
Answer clinic phone calls, manage the clinic email account, and manage incoming/outgoing postal mail.
Schedule, organize, and attend community outreach events.
Contingent on Available funding Minimum Education/Experience High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
License or Certification required by statute or regulation None Preferred Experience, Skills, Training/Education Significant experience in office administration and strong financial management skills are preferred.
Strong computer skills and the ability to quickly learn Electronic Medical Record System(s) (Theranest) and other technology platforms such as Microsoft Teams, RedCap, Outlook, and Occularis are preferred.
Experience working in the mental health field, knowledge of office administration, and experience managing business finances are preferred.
Training in or knowledge of the following systems is a bonus; Banner 9, Ustore, Chrome River, and ProCard.
